A Practical Guide to Plant Supply: What to Ask, Check and Expect Before Your Next Project [Checklist Included]

The questions you ask a nursery before placing an order matter as much as the order itself. Here is a practical framework for assessing plant supply relationships and what to look for at each stage.

The questions you ask a nursery before placing an order matter as much as the order itself. Here is a practical framework for assessing plant supply relationships and what to look for at each stage.

Experienced buyers know that most plant supply problems are not plant problems. They are timing problems, communication problems or specification problems that were present from the start and surfaced later. The way to avoid them is to ask the right questions before any commitment is made.

This is a working guide to what those questions are, what good answers look like, and how supply decisions interact with the broader project program.

Stock health and quality: what to confirm before you commit

Grade standards vary across the industry and a quote does not tell you what the stock actually looks like. Before placing a significant order, confirm how a nursery manages quality at the production level.

Root architecture
Ask whether trees and larger specimens are established and stable in the pot, or recently potted up to meet an order. Recently potted stock carries more transplant stress risk on site.

Batch uniformity
For commercial and government projects where design intent requires consistency, ask whether advanced specimen trees or screening rows can be hand-tagged or inspected to confirm uniform height, caliper and structure before dispatch.

Biosecurity management
Ask how the nursery manages local biosecurity threats such as Myrtle Rust or Fire Ants across its production blocks.

True-to-type accuracy
When a species or cultivar has been formally specified, confirm what protocols the nursery has to ensure delivered stock matches the requested botanical nomenclature exactly.

Florafolia is NIASA accredited, meaning our production processes are independently audited for plant health, biosecurity and quality management. Stock is graded before dispatch. If it does not meet specification, it does not leave the nursery.

Logistics, lead times and holding: what the numbers mean

Understanding a nursery's production and logistics capability at the start of a project protects the program at the end of it.

Availability versus reality
An availability list reflects what a nursery is willing to supply. What matters is whether that stock is physically on the ground, at the grade required, and available when your project needs it. Ask directly: is this stock currently on the ground or still in a production cycle?

Lead times
Lead times vary significantly by pot size and species. For contract-grown or pre-grown stock, nine to twelve months is a realistic minimum for most advanced species.

Stock holding
When civil works or site handovers are delayed, holding fees become a real cost. Ask about weekly stock holding fees before stock is ready, not after. Knowing this upfront avoids surprises if and when programs run late.

Freight and unloading
Confirm whether the nursery runs dedicated plant freighters and what unloading options are available, including tailgate lifts for sites where standard delivery does not work.

Commercial terms and risk management

These are the terms that protect both parties when something changes. Confirm them before placing an order.

Deposit Minimums
Confirm the minimum spend thresholds for initial orders, ongoing pickups and delivery for your location.

Claims and credits
Ask for the specific deadline to lodge a claim and what documentation is required. At Florafolia, the standard is 48 hours with photographic evidence.

Substitution framework
Plants are living organisms and are subject to environmental and pest and disease risks that may impact supply. Think wallabies eating crops, fungal outbreaks after extensive rain, caterpillars, cows getting in from next door…all have happened. Ask how shortages are communicated and whether there is a pre-approval process for architecturally similar alternatives. A clear substitution process protects your design intent. At Florafolia, we notify you as early as possible and propose alternatives for your approval before anything on the order changes.

Payment terms
Confirm trading terms upfront, including whether deposit arrangements are available for large pre-grow programs.

What good plant supply looks like from both sides

The practical details above establish a baseline. What turns a baseline into a reliable supply relationship is communication.

From the nursery:

  • Accurate availability information

  • Early notification of any changes to stock or timing

  • Consistent grade across repeat orders

  • Proactive contact between orders, not only when there is something to sell

From the buyer:

  • Accurate project information at the brief stage

  • Program changes communicated as soon as they are known

  • Enough lead time for the nursery to plan production properly

  • Treating the relationship as an ongoing partnership rather than a transaction to be renegotiated each season

When both sides hold to that standard, the supply relationship becomes an asset to the project rather than a variable to manage.

The vetting checklist — questions to ask before you commit

Use this as a working framework when assessing a new plant supply relationship.

Stock and quality

  • Are root systems established or recently potted?

  • Can batch uniformity be confirmed for specimen or screening stock?

  • How is biosecurity managed across production blocks?

  • What ensures true-to-type delivery?

Logistics and lead times

  • Is availability physically on the ground or still in a production cycle?

  • What are lead times for the specific pot sizes on your schedule?

  • What are holding fees if the project is delayed?

  • What freight and unloading options are available for your site?

Commercial terms

  • What is the minimum spend thresholds for trade accounts and delivery?

  • What is the claims deadline and process for damaged or stressed stock?

  • How are substitutions handled and approved?

  • What are the trading terms?

A nursery that can answer these questions clearly and quickly is in a position to supply a project with confidence.

Frequently asked questions about plant supply with Florafolia

How do I know if stock on an availability list is actually in the ground?
Ask directly before placing an order. At Florafolia, availability lists reflect stock that is physically on the ground and growing to grade. If your project is due in the future we may have batches growing that will be ready at that time and that is ok too. Contact us to confirm current availability and expected ready dates for the lines on your schedule.

What is Florafolia's claims policy for damaged or off-spec stock?
Report within 48 hours with photographic evidence. We replace or credit. No negotiation, no runaround.

Can Florafolia hold stock if my project is delayed?
Yes. Stock holding arrangements are available if project timelines shift after stock is ready. Contact us to discuss holding fees and conditions.

How does Florafolia handle substitutions when a line is unavailable?
We notify you as early as possible and propose architecturally similar alternatives for your approval before anything changes on the order. We do not make substitutions without confirmation.

What are Florafolia's minimum order requirements?
Contact us to discuss trade account minimums and delivery thresholds for your location and project type.
